What will I be doing?
- Performing general clerical and administrative duties to include but not limited to photocopying, faxing, mail distribution and filing, answering phone
- Coordinate and purchase supplies for all departments
- Plan and coordinates events, holiday observances, hosting visitors
- Assist with AP and AR functions.
- Other duties as assigned.
What qualifications do I need for this great opportunity?
- Minimum Education: Associate degree (A.A) or 3 years of related experience
- Minimum Experience: 2 years of related experience

What are your primary duties to be successful in this role?
Below are the essential job tasks or primary responsibilities that the individual who holds the position must be able to perform unaided or with the assistance of an accommodation.
- Schedules and organizes complex activities such as meetings, domestic and international travel, conferences and various department activities.
- Creates and develops visual presentations for the management team.
- Monitors, screens, responds and distributes incoming communications including all incoming calls.
- Greets and interacts with visitors
- Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Interacts with internal and external personnel, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non-routine information and explains policies when necessary.
- Maintains Procurement History Spreadsheet in excel as time allows.
- Daily Production Meeting Notes – Takes the meeting minutes and distributes to the team. Tracking updates by the department managers.
- Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Supports finance department with check request approvals, expense reimbursement program, and documenting corporate credit card expenses.
- Acts as project manager for special projects, at the request of the senior management, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
- Works independently and within a team on special nonrecurring and ongoing projects.
- Reviews operating practices and implement improvements when necessary
- Maintains files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
- Backup support for timekeeping and payroll function.
- Maintains supplies inventory- replenish supplies when necessary.
- Keeps own and adjacent work area clean.
- Other related job tasks or responsibilities as assigned.

- Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
- Must be able to follow standard filing procedures
- Strong PC Skills; Proficient in Excel Outlook, Excel and Word, 10-key by touch
- Must have strong work ethics. Detail oriented, professional attitude, reliable
- Possess strong organizational and time management skills
- Skills to include: strong problem solving, basic accounting principles knowledge, documentation research and resolution, data analysis and multi-tasking
- Ability to communicate effectively verbally and in writing
- Ability to interact with others in a professional manner
- Ability to speak and write English
- Ability to work independently with little supervision and with a team in a fast-paced environment with emphasis on accuracy and timeliness Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately
Physical Requirements
This position requires occasional lifting, pulling, or pushing objects of less than 25 pounds. Bending, kneeling and carrying are also occasionally required. A significant amount of time is spent sitting. The position requires visual and auditory acuity.
